The process, step by step

Each step is designed to reduce risk. You remain in control throughout.

Send an anonymised payroll sample

No sensitive employee data needed initially. Share a representative sample of your pay structure — earnings, deductions, tax bands — with names removed. We use it to configure Payzava against your real payroll rules.

We configure Payzava

Your employee structure, pay components, PAYE brackets, NSSA rates, AIDS Levy, NEC codes, currency settings, and approval workflows are set up in a controlled tenant.

Parallel payroll run

Payzava calculates the same pay period as your existing process. Gross pay, statutory deductions, and net pay are generated side by side. Your current payroll remains the source of payment.

Reconciliation review

Differences are investigated line by line with you. We document every variance and its cause. Nothing moves forward until you are satisfied the numbers are correct.

Controlled cutover

Only after reconciliation sign-off do we plan the live switch. Employees get digital payslip access. Training is provided for whoever runs payroll. Support continues through the first live cycles.

These commitments are set out formally in our data processing agreement and subscription agreement, both agreed with you before a pilot handles employee data.

Common questions

Do I have to switch payroll immediately? +

No. The programme is designed around parallel running. Your existing process remains in place until you have reviewed the comparison and decided to proceed.

What happens if the numbers do not match? +

Every difference is investigated and documented. If the cause is a configuration issue, we fix it and re-run. If it is a rule interpretation question, we discuss it with your payroll operator. Cutover only happens after reconciliation.

How long does the pilot take? +

Typically 1–3 weeks depending on complexity: employee count, number of pay components, currency mix, and NEC codes. The parallel run itself takes one or two pay periods.

What data do you need from me? +

The initial discussion needs only your payroll structure — pay components, deduction types, approximate employee count. If you proceed to a pilot, we provide a controlled import template and agree the data-handling process.

Is my data safe? +

Data is encrypted at rest with AES-256 and in transit with TLS 1.3. Access is role-based with MFA. Support access is time-limited and logged. We do not share customer data with third parties.
